Responsibilities

TheQA Client Serv Specialist's primary function will be to evaluate calorie information for all products assuring company standards are maintained for our print division. Will work with Research & Development (R&D) and within the offer database to develop and review calorie content for all custom offers not already in the system to ensure product integrity. Currently approximately 65% of offers require some type of customization on a weekly basis, this position will handle the entire process from start to finish developing and managing these offers, adding these offers to the current database, getting all approvals for these offers including R&D, Marketing and Legal approvals. Consults with legal when necessary for new and current offers. Complete and documents audits of the library as necessary. Interpret and implement quality assurance standards and investigates any non conformance issues. Assures ongoing compliance. Trains CSS as back up. Secondarily will serve as both sales representative and client as primary contact and source of information for client's jobs. Provides exemplary client service and consultation while processing orders for clients. Troubleshoots all issues as it relates to production and delivery of product and ensures a high-quality product is delivered in a timely manner. Consults with both internal and external clients to help maximize dollars spent.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.

  • Primary function will be QA for calorie information for all products. Will work with R&D and offer database to develop and review calorie content for all offers not already in the system
  • Complete and document audits of the offer library as necessary.
  • Serves as the primary contact for clients and sales representatives. Communicates in a professional manner regarding account set-up, estimating, production & billing.
  • Investigates client concerns and troubleshoots issues and resolves problems in a timely manner.

  • Assists sales representatives in obtaining job specifications from client to create an estimate form to submit to the estimating team and communicates the completed estimate to the client.
  • Takes live job and coordinates all paperwork and artwork and places in a job jacket to prepare the job for production.
  • Coordinates proof approvals with clients. Obtains accurate client deadline dates and advises production whenever copy or proofs will be delayed or when deadlines must be changed.
  • Works closely with production/production planner to monitor job progress and follow up throughout production to ensure accurate and timely delivery of product.
  • Communicates any problems and changes to job as indicated by production planner/purchasing to plant personnel, sales representative and clients.
  • Sets up press check with clients (when needed).
  • Reviews pricing prior to invoicing for print only (when applicable).
  • Researches invoice questions and/or discrepancies and processes credit requests as needed.
  • Keeps accurate records on all jobs and client contacts including client contact information/addresses/responsible parties.
  • Sends proper materials (including tracking numbers and samples) to client for all complete jobs.
  • Organizes and fills sample rack and/or showroom and keeps current. Mail sample packets to clients per request.
  • Assists in providing/sending sales representatives sales support materials, marketing collateral and other materials to successfully do their job.
  • Attends scheduled sales/production meetings and participates in training.
  • Travels to client for on-site visits (when needed).

Qualifications

FUNCTIONAL SKILLS

  • Proficient experience with Word and Excel required.
  • Experience with print and/or promotions management software preferred.
  • Print and/or Promotions knowledge preferred.

EDUCATION, EXPERIENCE AND CERTIFICATIONS

  • High school diploma or GED required.
  • Bachelor's degree preferred.
  • Two (2) to four (4) years customer service experience required, preferably in the print and/or promotions industry.
