Job Summary

Exciting Communications and Corporate Affairs leadership team looking for a staff assistant and project coordinator to provide confidential administrative support for the Chief Communications Officer; support the team on a number of activities including team member newsletters, company Town Halls, engagement with media and social media influencers, and employee volunteering. This role is ideal for candidate looking to gain experience in corporate communications and to develop their skills to grow into a Communications or Corporate Affairs Specialist role. The Assistant provides confidential administrative support to our Chief Corporate Affairs Officer work may include calendar support, travel arrangements, project coordination, and meeting planning.

Job Responsibilities: 

  • Manages Outlook calendar, including internal and external meeting requests, conference calls and other appointments for the CCAO. 
  • Plans and coordinates the logistics of meetings, internally at HQ or offsite, for the team, and for visitors. 
  • Supports coordination of company events including Town Halls, volunteer activities and guest speakers.
  • Manages travel arrangements, including flights, rental cars, car service, hotels, and related events and meals.
  • Processes travel-expense reporting and reimbursement. 
  • Supports the department with project coordination.
  • Supports the team with communications, including items like newsletters, new hire announcements, media releases, briefing documents and widely distributed information. 
  • Formats, edits, proofreads, reproduces and distributes materials. Produces documents, PowerPoint presentations and spreadsheets. 
  • Maintains the editorial calendar for the team and master events calendar for the company.
  • Supports the philanthropic efforts of the company including managing donation requests, coordinating food donations and liaising with community partners.
  • Attends meetings and produces meeting minutes as needed. 
  • Coordinates correspondence, files reports, and preserves records as needed.
  • Manages provisioning for current team and new hires.
  • Ensures leader is adequately prepped for “next day” activities and events.
  • Other tasks and responsibilities as assigned.

Qualifications: 

  • BA/BS in Communications or similar field
  • Internship or 1-2 years of experience in Communications or working as an assistant preferred
  • Organizational skills and ability to work and collaborate in a team environment 
  • Intermediate capabilities across primary MS Office software and corporate travel sites/tools
  • Excellent interpersonal relations and communication skills; exceptional writing skills 
  • Ability to manage multiple demands and evolving priorities with confidence and confidentiality
  • Consistent high levels of energy with a capacity and desire to learn; desire to move up in the organization in 2-3 years is preferable
