Job Summary
The Executive Project Administrator will assist a member of the Executive Leadership Team in the coordination and implementation of projects and day-to-day administrative activities. The candidate will perform advanced, diversified and highly confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. The candidate will also schedule and maintain a calendar of appointments, both professional and personal, as well as handling all incoming and outgoing correspondence. This role provides executive administration services and project management to the Papa Johns C-Suite executive of the determined business function. The Executive Project Administrator will assist in the coordination and implementation of projects and day-to-day administrative activities. This individual will perform advanced, diversified and highly confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. The Executive Project Administrator will also schedule and maintain a calendar of appointments, both professional and personal, as well as handling all incoming and outgoing correspondence.
Duties and Responsibilities
- Screen telephone calls and visitors demonstrating a level of service to the customer and a sound judgment when dealing with individuals both internally and externally. Resolve routine and complex inquiries, while managing highly confidential information
- Schedule and maintain a calendar of appointments, meetings, conference calls, travel itineraries for both domestic and international travel, and coordinate related arrangements, both professionally and personal
- Organize meetings including scheduling, securing locations, preparing agendas, arranging AV and catering needs, note taking and following up as required
- Serve as the primary contact for Leadership Team meetings including gathering, tracking and distributing project lists and partnering with internal stakeholders to ensure pertinent items are addressed
- Write, type, proof and distribute various letters, forms and memos; set up and maintain files as needed
- Analyze reports and develop executive summaries/overview; develop and manage tracking systems/reports/databases
- Assume responsibility for special projects and other departmental assignments as needed
- Must demonstrate a high level of confidentiality at all times
