Job Summary
The AP Clerk provides support of Accounts Payable supplier maintenance operations within the Enterprise Resource Planning (ERP) system. Responsible for supplier setup and maintenance, including data entry of banking details, payment methods, addresses, and other key information in the ERP system. Works with multiple systems on a daily basis to add, update, research, and resolve issues related to vendor maintenance within the payables workflow.
Duties and Responsibilities:
- Ensures supplier database is maintained in agreement with Federal and State reporting requirements, Supply Chain needs, and Company’s best practices.
- Perform due diligence in validation of all banking change requests before supplier maintenance is executed to avoid risk of fraud.
- Researches and resolves duplicate supplier records; obtains clarity from suppliers on mergers, acquisitions, or changes.
- Ensures all supplier documentation is properly collected, validated (e.g., W-9s, IRS/OFAC checks), and stored electronically in compliance with SOX and federal reporting requirements
- Assists with timely supplier maintenance for the issuance of annual 1099s or corrections as a result of B-Notices.
- Supports supplier updates required for timely and accurate IRS Form 1099 issuance and corrections, including B-Notice responses
Education, Experience & Certifications
Experience processing payables in a shared service center or multi-location environment preferred.
- Experience generating 1099s and reporting to the IRS is preferred but not required.
- Knowledge of vendor maintenance tools such as IRS Website, SAM, and OIG preferred.
- PeopleSoft experience preferred but not required.
High school diploma or GED required
1-2 years of previous AP experience preferred
